Position Summary: 

The ADDF is seeking a Special Events Manager to join the special events team.  The event department executes a robust portfolio of fundraising and cultivation events annually. The individual must be highly motivated, organized, proactive, and detail-oriented, with an understanding of and interest in special event fundraising and stewardship programs.

We are seeking an energetic and detail-oriented event manager with 4-6 years of experience in a nonprofit setting.  This role will be an integral part of dynamic event and development teams that are focused on the planning and execution of a variety of fundraising and cultivation events, and donor stewardship. Travel expected 20%. 

Placement: 

The Manager, Special Events will report to the Senior Director, Special Events and Development Operations. This is a full-time exempt position. This individual will be expected to commute to our office in NYC on a frequent basis. 

This role is positioned in L3 of ADDF’s salary structure. Anticipated salary: $80,000-93,000.00. Placement within the stated range will be based on your relevant skills, experience, and expertise.

Key Responsibilities:

Event Management & Administration (with input from Senior Director of Special Events)

  • Develop and manage event timelines
  • Coordinate event mailings; oversee ticketing and guest lists
  • Create detailed staffing plans and provide input for Run of Shows
  • Ensure seamless execution of ADDF events by overseeing onsite event staff, volunteers, and venue set-up 
  • Leadership of smaller scale cultivation events
  • Play an active role in stewarding donors through consistent, high-touch communication and meaningful engagement at events
  • Build and maintain strong relationships with donors, board members, and key stakeholders, ensuring they feel valued and engaged in the ADDF’s mission.
  • Partner with Development to support cultivation efforts that deepen donor engagement before, during, and after events.
  • Establish and maintain relationships with key event participants including donors, board members, committee members, and program participants 
  • Manage relationship with designer and printer by:
    • Receive collateral estimates from printer and make sure they align with budgets
    • Communicate with printer and designer on all event collateral
    • Maintain and create the collateral print timelines
  • Work with the Database Manager to ensure that all databases (mailing lists, Raiser’s Edge, etc.) are up-to-date and accurate
  • Track and process event contributions and generate weekly revenue reports
  • Create and distribute save-the-date and invitation e-blasts with Communications team and orchestrate production of event collateral including Save the Dates, Invitations, Journals and more
  • Other duties as assigned 

Qualifications: 

  • Bachelor’s degree required.
  • 4-6 years of experience in a similar position.
  • Proficient in Microsoft Office Suite.
  • Knowledge of Raiser’s Edge a plus.
  • Dedication to promoting the organization’s fundraising priorities through developing excellent relationships with the Boards and major donors 
  • Comfortable engaging with donors, key stakeholders, and organizational leadership
  • Demonstrated organizational and planning skills; strong follow-up and follow-through to ensure personal, team, and organizational objectives. 
  • Strong self-motivation and the ability to work as a team member; entrepreneurial and positive spirit
  • Strong written and verbal communication skills.
  • Meticulous attention to detail.
  • Ability to multitask in a fast-paced work environment.
  • Ability to work effectively with a team as well as independently.
