Lauder, the Alzheimer's Drug Discovery Foundation is dedicated to rapidly accelerating the development of drugs to prevent, treat, and cure Alzheimer's disease. The ADDF is the only public charity solely focused on funding the development of drugs for Alzheimer's, employing a venture philanthropy model to support research in academia and the biotech industry. Position Summary: 

The Alzheimer's Drug Discovery Foundation (ADDF) is looking for a versatile Office Manager & Administrative Coordinator to keep our Midtown Manhattan office running smoothly and support our hybrid team, in the office and remote alike. You'll act as a true administrative partner supporting executive leadership. As a mission-driven organization, our team collaborates closely across departments — from science and philanthropy to communications and finance — and this role sits right at the center of that collaboration, helping fuel the work that drives our mission forward. You'll also serve as our primary liaison with IT, take ownership of ADDF's Summer Internship Program, support HR, compliance, and budget-tracking matters, and gain exposure to nonprofit operations and management. This is a hands-on, in-person role for someone who thrives on variety and brings energy to a fast-paced, mission-based organization. 

The ideal candidate is proactive, detail-oriented, and professional, with strong judgment and the ability to juggle competing priorities in a small-office environment. A minimum of two years of relevant office management or administrative experience is required; experience supporting executives or working in a nonprofit environment is a plus.

Placement: 

This position reports to the Chief of Staff and also serves as an administrative partner to the CEO and Chief Philanthropy & External Affairs Officer. This is a full-time, exempt position based in Midtown Manhattan, NY. This is an in-person role. 

This role is positioned in L2 of ADDF's salary structure. Anticipated salary: $77,000–$87,000. Placement within the stated range will be based on your relevant skills, experience, and expertise.

Key Responsibilities:

Office Management & Front Desk Operations

  • Oversee day-to-day office operations, ensuring a clean, well-organized, and welcoming workplace, including general upkeep of common areas
  • Serve as primary liaison with IT vendor, providing hands-on troubleshooting support, coordinating escalations, and ensuring service quality
  • Manage office supplies and equipment inventory, placing orders as needed and in a timely manner
  • Serve as primary point of contact for building management, landlord, and all office service vendors
  • Support compliance matters, including charitable registrations, required disclosures, and insurance renewals
  • Coordinate routine facilities maintenance and repairs, escalating as needed
  • Manage incoming and outgoing mail and packages
  • Serve as the first point of contact for visitors, guests, and general phone/email inquiries, including conference room coordination
  • Maintain a professional and welcoming front-of-office presence at all times

Executive & Team Administrative Support

  • Partner with the Chief of Staff to support the CEO's calendar management, scheduling, and day-to-day administrative needs, and provide the same level of administrative support to the Chief Philanthropy & External Affairs Officer
  • Support correspondence with key stakeholders, donors, and partners by staging emails and communications as directed
  • Track budgets and process expenses, invoices, and reimbursements for Operations & Administration, the Chief Philanthropy & External Affairs Officer, and the CEO, ensuring timely and accurate handling. 
  • Coordinate domestic and international travel arrangements as needed
  • Prepare materials, agendas, and logistics for internal meetings and assist with board meeting logistics as directed
  • Support new hire onboarding and offboarding logistics, including workspace setup, welcome materials, access coordination, and administrative follow-up
  • Assist with ADDF's HR and PEO vendor relationships, including recruiting coordination, onboarding and offboarding administration, benefits administration, and maintaining accurate employee-related records
  • Assist with planning and executing staff meetings, office events, and other internal gatherings
  • Manage the Summer Internship Program, including recruitment, candidate coordination and selection, onboarding, program logistics, and ongoing program administration
  • Provide general administrative and logistical support to staff across departments as needed, particularly leading up to and during special events and conferences.  

Requirements: 

  • Minimum 2+ years of experience in an office management or administrative support role (nonprofit experience a plus)
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Professional demeanor, discretion, and sound judgment
  • Comfortable serving as a front-facing representative of the organization
  • Strong technical aptitude, including comfort troubleshooting IT issues and coordinating with vendors
  • Familiarity with budget tracking and reporting; experience with compliance or regulatory filings a plus
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Bachelor's degree preferred but not required
